Leave Management for Dental Practices UK: A Practical Guide

Running a dental practice means every staff absence has a direct impact on patient care and revenue. When a dental nurse calls in sick or a hygienist takes a week off, you cannot simply redistribute their work to other team members. Appointments need to be rescheduled, patients need to be contacted, and the entire day's schedule can unravel. This guide covers the unique leave management challenges dental practices face and how to handle them properly.

Why dental practices struggle with leave management

Dental practices operate differently from most businesses. Every clinician needs a dedicated nurse. If your hygienist is off, you cannot run hygiene appointments. Minimum staffing requirements

Unlike many industries where minimum staffing is a preference, dental practices have regulatory requirements. The GDC (General Dental Council) requires that certain procedures are carried out with appropriate support. A dentist cannot perform most treatments without a dental nurse present.

  • Nurse to dentist ratios. Each dentist needs a dedicated nurse for clinical sessions. If you have two dentists, you need at least two nurses available.
  • Reception cover. Someone needs to be on the front desk at all times during opening hours. If you only have two receptionists, they cannot both be on leave simultaneously.
  • Emergency cover. Practices that provide emergency dental services need to maintain minimum staffing even during quieter periods.

Bank holiday closures and their impact

Most dental practices close on bank holidays. In England and Wales, that accounts for 8 days per year. If your staff contract includes bank holidays within their 28 day entitlement, this is straightforward. But if you offer bank holidays on top of annual leave (as many practices do to attract staff), you need to be clear about this in contracts.

The tricky part comes with part time staff. A dental nurse who works Monday, Tuesday, and Wednesday is affected by bank holidays that fall on those days but not by a Friday bank holiday. Pro rata calculations for part time staff in dental practices often cause confusion, particularly around Easter and Christmas when multiple bank holidays cluster together.

Tip: use hours rather than days

Many dental practices find it simpler to calculate leave entitlement in hours rather than days. This avoids disputes with part time staff who work different length shifts on different days. A nurse who works 8 hours on Monday and 4 hours on Wednesday has different daily rates, so an hours based system is fairer and clearer.

Booking leave around patient appointments

The biggest operational challenge is that leave directly affects patient bookings. When a staff member requests leave, the practice manager needs to check whether patient appointments are already booked for those dates and whether there is enough cover to continue running.
