Employees, workers, trustees, volunteers and contractors have different records, obligations and access needs. Do not force them into one undefined status.

Handle varied working patterns
Test part-time, term-time, irregular-hours and location-based workers using your actual leave year and policies.
Support governance evidence
Key decisions, policy changes, exports and data-retention actions should be understandable to someone reviewing the record later.
Price the real population
Ask whether inactive, seasonal or volunteer records count as paid seats and how costs change when programmes expand or close.
Plan for handover
A charity should be able to export records and hand administration to a new post-holder without depending on one person’s inbox or knowledge.
Do not assume one system should hold every safeguarding record
Define which records belong in HR software, who may access them and which specialist process remains the authoritative source. Collect only what is necessary and document retention, escalation and deletion.
