A paper accident book only works if someone reads it

A paper accident book sits in the office or on a shelf in the warehouse. Entries are hard to read, pages go missing, and staff on another site or out on the road have no way to add to it. Near misses, which are the best warning you will get, often never get written down at all.

The bigger risk is RIDDOR. Some accidents have to be reported to the HSE within 10 or 15 days. If the only record is a handwritten entry that nobody reviews, the deadline can pass before anyone realises the accident was reportable.

Keeping an accident book

If 10 or more people normally work at the same premises at the same time, you must keep an accident book.

Deaths and specified injuries

Must be reported to the HSE without delay, and within 10 days. Specified injuries include fractures (other than fingers, thumbs or toes), amputations, serious burns, loss of sight and loss of consciousness.

Over-7-day injuries

Where a worker cannot do their normal job for more than 7 days in a row, not counting the day of the accident, report it within 15 days of the accident.

Non-workers taken to hospital

If a visitor or member of the public is taken straight from the scene to hospital for treatment, it is reportable.

Over-3-day injuries

If a worker is off for more than 3 days but not more than 7, the injury must be recorded, but does not need to be reported.

Keeping records

RIDDOR records must be kept for at least 3 years.

Who can report an accident in Leavely?
Any employee. They can record what happened, where and when, who was hurt, the injury, any first aid given and any witnesses. The injured person can be an employee, a contractor or agency worker, a visitor or a member of the public.
Can staff report near misses?
Yes. "Near miss" is one of the options when reporting, for times when nobody was hurt but someone could have been. Recording near misses helps you fix a hazard before it causes an injury.
Does Leavely submit RIDDOR reports to the HSE?
No. Reports are made to the HSE through its own online service, and Leavely links to it. Leavely suggests whether an accident is likely to be reportable and shows the deadline. The final decision stays with you, because the full rules also cover dangerous occurrences and occupational diseases. Once you have reported it, you record the date and the HSE reference in Leavely.
